Step by step guide to setup Workable for Screenloop

Workable Configuration

Screenloop supports Workable as an ATS provider. Once set up and enabled, the users within your organisation will be able to automatically synchronise job positions, candidates, interview information and more!

Requirements

This guide assumes that you:

  • Have a Workable license

  • Have permission to create a new user in Workable

  • Have permission to retrieve an API token

Your user needs to have All access permission to create a user capable of integrating Screenloop with Workable.

If you are unsure or don't have permission, first you need to contact a Workable user in your organisation with All access level permissions to ensure that either you or they can follow the steps described in this article.

Install Workable on Screenloop

To perform these steps, you need to have site administrator permissions in Screenloop.

  1. Sign in to the Screenloop web portal.

  2. At the bottom of the navigation left panel click on Organization Settings

  3. In the left panel that just popped up, please click on Integrations

  4. Click on the Connect button on the Workable integration

The goal is to gather information and perform the necessary setup in Workable to fill the Integrations tab form in Screenloop:

Setup Workable and Screenloop

1. Create a Screenloop user on Workable

To create a Screenloop user on Workable, go to the Workable home page and navigate to Name (Icon) > Settings > Account members. While on the Account members page, look for a button + Invite a new member and click it.

Type in <admin_name>+workableapi@<your-organization-email-domain> e.g. if the admin user has the email rodrigo@screenloop.com, then you should write rodrigo+workableapi@screenloop.com. Assign the All Access user permission and click on the Invite member button.

Log out from Workable and go to your email. Open the Workable email you received and click on the Accept Invitation button.

Details regarding the user to be created after pressing the Accept Invitation button:

  • Name: Screenloop

  • Last name: User

  • Password: <set a strong password here>

After all data is filled in, click on the Sign-up button.

2. Retrieve the Instance Subdomain from the Workable URL

While on any Workable page, look at the location bar copy and paste the subdomain URL and input it into the Instance Subdomain input box in the Workable Integration page on Screenloop.

3. Retrieve an API token for Screenloop to use

The API key is used by Screenloop to retrieve information from Workable automatically. It was designed to allow Workable customers to export their data from Workable. However, it can also be used to update the candidate information.

To retrieve this token you can navigate to Name (Icon) > Settings > Integrations and scroll down to the ACCESS TOKEN section and click on the 'Generate API Token' button.

Fill in the available fields:

  • Name: Screenloop Integration

  • Expires in: 2 years

  • API Scopes: to reintegrate them with the API token method:

    • r_candidates

    • r_jobs

    • r_requisitions

    • w_candidates

    • w_comments

After clicking on the 'Generate token', a new modal will appear with the created API that you will need to copy.

Finally, input the API into the Screenloop Integration page under API Token:

4. After setting up the two previous fields, within Screenloop > Organizational Settings > Integrations > Workable click on the refresh button just after the Select member dropdown and then select the Screenloop User you have created in the first step of this guide:

5. Conclusion

After making sure all three fields are completed successfully. Click on Submit.

Upon successful configuration, you'll see a successful update confirmation message.
