Overview of Self Service Triggers, how to create and edit existing triggers.

1. Overview of Self-Service Triggers:

Pulse self-service survey triggers feature allows you to easily create or edit custom triggers, allowing for greater control and automation of who you send your surveys to Pulse triggers.

With self-service survey triggers, you can now set up rules to automatically trigger surveys helping streamline your workflows and save you time and effort.

To access the self-service triggers feature, log in to your account and navigate to the “Survey Triggers” tab in the Settings menu. (Settings > Survey Triggers)

If you don’t see this option then check that you are listed as an Admin User.

From there, you can create, edit, and manage your triggers as required:

How to create a new trigger

We recommend you view this helpful video prior to designing new triggers.

To create a new trigger, select the “Add trigger” button on the top right corner

It will then take you to this page:

Summary

This is where you name this specific trigger, and ensure it's clear and linked to the survey track you are enabling.

  • Survey trigger name: choose a name for your trigger;

  • Trigger Status: the ability to enable or disable your trigger. It’s not possible to delete triggers. It’s recommended to keep it disabled until you have finished creating the trigger.

Conditions

In this section, you build the parameters for when a particular survey is automatically triggered. You can only choose 1 survey track per trigger.

Survey Track: select the survey template to be triggered;

  • Conditions: according to the selected survey track some conditions must be filled:

    • Stage: the job stage(s) that should be included/excluded for the template to be triggered (you can select multiple options);
      Status: the job status to be considered for the trigger;

    • Job: the job(s) that should be considered or excluded for the trigger;

    • Location: the job location(s) that should be considered for the trigger.

Settings

  • Max Reminders: the maximum number of reminders that should be sent for surveys associated with the trigger;

  • Delay Days: the delay days that must be taken into account until the survey is triggered;

  • Consider application updates from: the application date to be considered by the trigger. Only applications that had an update after the defined date will be considered.

Once content with the newly established trigger you then select 'Save' and it will ask you for a final confirmation of the newly established trigger.

2. How to edit an existing trigger

Much like creating a new trigger, this follows an incredibly similar process.

Access through Settings > Survey Triggers and you will see the page below.

Click on the trigger name highlighted in blue to amend, highlighted below:

The Edit Trigger page will be shown, as below:

This gives you the ability to alter any aspects of the trigger or temporarily disable it if required.

You have the ability to add further conditions with the ‘Add Condition’ button. Often used if you want to exclude by Job or location from receiving a survey.

Top Tip: When you are setting up triggers remember to set the stage after the point you wish the survey to be sent. For example: If I wanted to send the Post Application Track survey after the Phone Screen Stage then I would need the trigger to be at the stage after that in the ATS. Ensuring that the Survey is sent after the phone screen has been conducted.

Additionally, you can choose to change the number of reminders sent to a candidate and the delay time.
