Automated Emails and Auto-Reject rules help you communicate with candidates at scale and filter applications automatically based on defined criteria.

Reduce manual admin and ensure consistent candidate communication

Only Admin users can set up automated emails and auto-reject function.


Enable Job Workflow Triggers

  1. Open the Job you want to edit.

  2. Click Edit Job β†’ Job Workflow.

  3. Select the Job Workflow from the dropdown.

  4. Go to Job Workflow Automation

  5. Toggle Does this job include automations? to On.


Auto-Send Emails

  1. Select Send Email.

  2. Choose an Email Template.

  3. Select the Candidate Status:

    • All – Active, Hired, and Rejected

    • Active – Candidate is active in the ATS

    • Hired – Candidate moved to Hired

    • Rejected – Candidate moved to Rejected

  4. Select the Stage where the email should trigger.

  5. Set Delay Days (e.g. 0 = send immediately).

Example:
Send an Application Review email the same day a candidate applies:

  • Template: Application Review

  • Status: Active

  • Stage: Applied

  • Delay Days: 0

Emails send automatically once the trigger conditions are met.


Auto-Reject Candidates

  1. Select Auto-Reject as a trigger.

  2. Choose the Application Form Field to evaluate.

  3. Select the Answer that should trigger rejection.

Auto-reject does not send an email by default. To notify rejected candidates, set up an automated Send Email trigger for the Rejected status.


Save or Publish

  • Click Save and Close to save without publishing.

  • Click Save and Publish to apply changes immediately.
