Scheduling an Interview

How to schedule interviews in Screenloop

Requirements:

  • The candidate must be in a Workflow stage that includes an interview

  • Your calendar (and any other participants') must be connected to Screenloop

Understanding Scheduling Flows

Screenloop supports multiple ways to schedule interviews depending on your hiring workflow.

Send scheduling directly from Screenloop

Recruiters can send interview invitations manually using either:

  • a custom email written at the time of scheduling

  • a saved email template

When using candidate self-scheduling, the booking link is automatically included in the email.

Share a self-scheduling link manually

Recruiters can also copy a self-scheduling link and send it outside of Screenloop, such as through LinkedIn or an existing email thread.

This is commonly used for sourced candidates who may not yet exist in the ATS.

Scheduling emails can also be automated at the workflow stage level. When a candidate moves into a configured stage, Screenloop automatically sends a self-scheduling email after a short delay.

This removes the need for recruiters to send scheduling links manually.


Schedule from a Candidate’s Page

  1. Go to the Candidates page.

  2. Locate the candidate and click on the candidate's name

  3. Click the calendar button (top right).


Schedule from Jobs page

  1. Go to the Jobs page.

  2. Locate the relevant job and click on it.

  3. Choose the relevant stage from the pipeline.

  4. Locate the candidate you wish to schedule the interview for.

  5. Click on the three dots behind the candidate's name and select 'Schedule Interview'.


Choose How to Schedule

You have two options:

You pick the time

  1. Select Scheduling Template (optional)

  2. Review/amend interview duration and Video Conferencing platform (optional)

  3. Amend Calendar Event template (optional)

  4. Select the date and time for the interview.

  5. Click Confirm to send the invite.

Candidate picks the time

  • Allow the candidate to select a time from your availability. By default, Screenloop won’t schedule interviews over existing calendar events.

  • Make amendments with optional fields: Scheduling Template, Add Participants, Review/amend interview duration and Video Conferencing platform, Amend Calendar Event template

  • Use Schedule from to delay immediate bookings if needed.

  • Set the time-frame you want to share.

  • Click Confirm Availability.

  • Send an email to the candidate to enable them to select the time / Copy Self-scheduling link to send this manually.

Flexible scheduling accommodates both interviewer and candidate availability.


Adding / Changing Interview Participants

  • Click Add Participant to include additional interviewers.

  • To change the host, click the star next to the interviewer’s name.

  • To remove yourself from the interview session, click the bin next to your name.

All participants will see the interview in their connected calendars.
​This reduces back-and-forth emails and ensures the interview is visible to everyone involved.


Schedule an Interview While Ignoring a Participant’s Availability

You can schedule an interview while bypassing participants' calendar availability if needed.

Steps

  1. Follow the steps to schedule an interview.

  2. Select ā€œYou pick the time for the candidateā€, then click Schedule.

  3. Under Participants, hover over the relevant participant (the one whose availability you want to ignore).

  4. Click the calendar icon next to their name to ignore their calendar availability.

  5. Choose a date and time from the updated scheduling calendar.

  6. Click Confirm to schedule the interview.

To ignore a participant’s availability, their calendar must be integrated with their Screenloop account.
