Send, View, and Revoke Offers

Screenloop now lets you send fully signable offer documents to candidates, pre-filled, personalised, and ready to sign via Dropbox Sign (no separate integration required and signing is included by default). You can also track signing status and revoke offers if needed.


1. Sending an Offer

Once a candidate reaches a stage that supports offers, you can send an offer from the following locations:

  • Candidates tab

  • Candidate detail page

  • Job pipeline view

Once you're in any of these views:

  1. Click the ellipsis menu (...) next to the candidate.

  2. Select Send Offer from the dropdown.

Step 1: Select Offer Template

  1. Offer Template

    1. Choose an existing offer template from the dropdown.

    2. Don’t have one yet? Follow the steps in our Create and Manage Offer Templates guide.

  2. Signatory

    1. Select the organisation signatory (if multiple)

    2. Only one signatory? The signatory will be selected by default

  3. Documents

    1. Preview and download the Offer Template and any additional documents.

Step 2: Fill in the Offer Details

Next, you’ll review and complete any variable fields used in the documents (e.g. start date, salary, office). Fields related to the candidate, job, or company name will be auto-filled from the data associated with this application and your organisation.

  1. Review all auto-filled information.

  2. Complete all missing fields.

Please note that these fields are mandatory, based on the used variables in your template. You won’t be able to proceed until all are filled.

Step 3: Review Email Message

You’ll now see the email template associated with your offer. Here you can:

  1. Review the email subject and content

  2. Edit if necessary

  3. Add Cc/Bcc recipient, optional.

  4. Attach any additional files (these attachments will not be signed)

  5. Click Review and Send

Note that if you delete a variable from the email subject or body, it can’t be manually restored. You’ll need to restart the sending process from the start.

Step 4: Final Review and Send

In the Offer Summary, you’ll be able to preview:

  • The completed offer document(s) with all variables filled in

  • The full email message the candidate will receive

If everything looks good, hit Send!


2. View or Revoke an Offer

Once the offer has been sent, you can track its progress and take further action from the candidate profile.

2.1 View an Offer

  1. Navigate to the candidate's page.

  2. In the Activity log, you'll see an entry indicating that an offer was sent.

  3. Click View Offer to see:

    • The completed offer document.

    • The selected signatory (if applicable).

    • The email message that was sent to the candidate.

You’ll also see an Offer card on the candidate's page, showing real-time signature statuses for both the candidate and company signatory. Statues include:

  • Pending – Waiting on signatures

  • Signed – The document has been signed by one party

  • Completed – All parties have signed

  • Revoked - The offer has been revoked by the company

  • Declined - The candidate has declined the offer

2.2 Revoke an Offer

To revoke a sent offer:

  1. Navigate to the candidate's page.

  2. In the Activity log, you'll see an entry indicating that an offer was sent.

  3. Click Revoke Offer.

  4. Confirm the action in the confirmation modal.

Once revoked:

  • The offer status is updated to Revoked.

  • The offer document can no longer be accessed.

  • An entry is created in the Activity log, noting the revocation.

To resend the offer, you'll need to follow the Send Offer flow again from the start.
