You can now streamline your hiring workflow by setting up signable Offer Templates directly in your Screenloop account.
This feature allows you to pre-configure e-signable documents, email messages, and expiration settings, saving your team time and ensuring consistency across all offers.
Who can use this? Admins only
1. Create an Offer Template
- Navigate to Settings > Offer Templates - From here, you can view all previously created templates or start to create your first offer template. 
 
- To create a new Offer Template 
 Click the Add Offer Template button at the top right of the page.
You’ll then need tocomplete three key sections:
- Offer Template Details 
- Documents 
- Email Message 
1.1 Offer Template Details
This section defines the basic structure and metadata of your template. You'll need to complete the following:
- Name - Give your template a clear, descriptive name that makes it easy to identify later (e.g. “Senior Engineering Offer - UK”). 
 
- Template Type 
 Choose to:- Custom (Start from scratch) 
- Based on a template (Duplicate and start from an existing template) 
 - Pro tip: Using an existing template is helpful if most of the content will remain unchanged. 
 
- Days to Expiration 
 Specify the duration for which the offer remains valid. Once the expiry period elapses, the offer will automatically expire.
A few things to note:
- If your document includes the {{{offer_expiration_date}}} variable, you must set the 'Days to Expiration' field to save the template. 
- If the variable is not present and no days are filled in, no expiry date will be set. 
1.2 Documents
This is where you upload the documents your candidates will receive and sign, plus define any company signatories.
- Company Signatory 
 Select who from your company is responsible for signing the offer.- If your document includes the {{{company_signature}}} variable: - You must select at least one company signatory. 
- If only one signatory is added, by default they will receive the offer to be signed. 
- If multiple signatories are added, the sender can choose which signatory receives the offer, at the time of sending. 
 
 
- If the {{{company_signature}}} variable is not included, no company signature is required and the offer will go directly to the candidate. 
 
- Document Variables 
 You can use default and custom variables to personalise your offer documents.
 - Default variables include: {{{candidate_signature}}}, {{{start_date}}}, {{{salary}}}, etc. A full list can be found in the table below. 
 
- Custom variables can be created by inserting your terms in triple curly braces, e.g. {{{office_location}}}, and must follow the following conventions: - Must be in the Latin alphabet 
- Must contain no spaces 
- Underscores need to be used to replace spaces 
 
- When sending the offer, users will be prompted to fill in all variables that are not pre-filled (default and customs ones). 
 
 
- Offer Document 
 Upload your main offer document in .docx format (max size: 2MB).
 
 We’ll automatically validate if:- All required variables are present (e.g. {{{candidate_signature}}}) 
- The syntax is correct (triple braces, Latin alphabet) 
 - Here’s a sample Word doc you can customise: offer signature template.docx 
 
- Additional Documents 
 Attach any supporting documents like NDAs or benefits overviews.
 
 Note: If the offer document uses the {{{company_signature}}} variable, all additional docs must also be signed.

1.3 Email Message
This section defines the content of the email that accompanies the offer documents.
- Subject 
 The subject line candidates will see in their inbox.
 
- Body 
 The email message body. Make sure it’s friendly, clear, and aligned with your brand.
 
- Email Variables 
 You can personalise the subject or body with variables like:- {{{candidate_name}}} 
- {{{job_title}}} 
- {{{company_name}}} 
- {{{sender_name}}} 
 
Once all sections are completed and your documents are validated, hit Save to finalise the offer template.
2. Enable Offers in your Job Workflow
In order to use this template, you'll first need to enable offers for one of the stages in your Job Workflow.

3. Editing an Offer Template
- Navigate to Settings > Offer Templates. 
- Find the Offer Template you want to edit. 
- Click the ellipsis menu (...) next to the template and select Edit. 
- Edit the necessary fields 
- Click Save in the top right. 
You’ll now be able to use this template when sending offers to candidates.
