How to Sign an Offer

Once an offer is sent, both the company signatory (if required) and the candidate will receive emails to review and sign the document via Dropbox Sign.


1. Company Signatory Flow

If your Offer Template includes a company signatory, the candidate will only receive the offer after the company signatory signs the offer. Here’s how it works:

1.1 Receive the Email

The company signatory receives an email titled “There is an offer to sign”.

They must click the Sign Offer button at the bottom of the email.

1.2 Open the Document in Dropbox Sign

Clicking the button opens Dropbox Sign in a new tab, where the signatory can:

  • Preview the full document exactly as it will appear to the candidate.

  • Begin the signing process by clicking Get Started.

1.3 Add a Signature

Select Click to sign at the designated signature field (usually at the bottom of the document). The signatory will have three signature options:

  • Draw their signature (using a mouse or touchscreen)

  • Type their signature (choose from customisable fonts)

  • Upload a signature as an image

Once a signature is set, click Insert and preview the signature before submitting.

4. Confirm and Send

  1. Finalise the signature:

    • Click I Agree to accept Dropbox Sign’s terms.

  2. Once signed:

    • The offer is automatically sent to the candidate for their signature.

You're done!

No further action is needed from the company signatory. The offer email will be automatically sent to the candidate to complete the process.


2. Candidate Flow

Once the company signatory has signed (if applicable), the candidate will receive an email with the offer and any additional documents attached.

2.1 Receive the Offer Email

The candidate will receive an email from your company with:

  • The subject and content as defined in your offer email template.

  • A Sign Offer button at the bottom of the email.

2.2 Review the Offer

Clicking the Sign Offer button opens the document in Dropbox Sign, where the candidate can:

  • View the full offer and any additional documents.

  • Click Get Started to begin the signature process.

2.3 Add a Signature

The process is the same as for the company signatory:

  • Click Click to sign at the signature field.

  • Choose from draw, type, or upload a signature.

  • Click Insert to place the signature.

2.4 Complete the Offer

To finish the process:

  1. The candidate must click I Agree to Dropbox Sign’s terms.

  2. Once submitted:

    1. The offer status in Screenloop updates to Completed

    2. All parties receive a confirmation email

    3. A signed copy is stored and viewable in the candidate's profile


3. How a Candidate Can Decline an Offer

Candidates can choose to decline an offer directly from the Dropbox Sign page. This action is final and immediately updates the offer status in Screenloop to Declined.

3.1 Decline an Offer

  1. Open the Offer Link

    • The candidate clicks Sign Offer in the email they received.

    • This opens the Dropbox Sign document in their browser.

  2. Access the Decline Option

    1. In the top-left corner, the candidate clicks the ellipsis () menu

    2. Then select Decline to Sign.

  3. Submit a Reason

    • A modal appears prompting the candidate to select or enter a reason for declining

    • Providing a reason is mandatory.

  4. Confirm the Decline

    • After submitting the reason, the offer becomes unavailable for signature.

    • A confirmation message is displayed to the candidate.

3.2 What Happens Next?

Once a candidate declines an offer:

  • The Offer status is updated to Declined in the candidate’s profile.

  • The Offer card is also updated to reflect the new status.

  • A log is automatically created in the candidate's activity feed, showing the candidate's reason for declining.

  • The original sender of the offer receives an email notification including the candidate’s reason for declining.
