Talent Pooling

How to add, filter and manage your candidate talent pool.

The Screenloop Talent Pool gives your organisation one place to keep candidates you want to consider for future roles. This guide covers what it is, how to add candidates, how to find or remove them, and where your existing prospects went.

1. What is the Talent Pool?

Our V1 Talent Pool is a single list of candidates your team wants to keep on file, such as runners-up from past roles. You'll find a new Talent Pool tab in the left-hand navigation, where the Prospects tab used to be.

  • One pool per organisation. V1 has a single, shared Talent Pool.

  • Built for searching. Filter it by department, channel, tags (skills), and date added.

  • Managed by your team. At present, recruiters and hiring teams add and manage candidates in the pool.

1.1 The Talent Pool profile

Click any name in the Talent Pool to open their profile. It looks like the application profiles you already know, with these parts:

Area

What it shows

Basic profile

Contact details, department, and the channel and source the candidate originally came from

Tags

Skills and strengths your team has assigned. These will help you skill match later

Job Applications

Every role the candidate has applied for, with its stage and status. Click to open an application

Process Overview

The date they joined the Talent Pool and how long they've been in it

Latest Activity

Talent Pool activity only, such as when they were added and any notes. Emails and activity from their other applications stay on those applications

Feedback tab

Previous scorecards and their average score across applications and hiring team members.

CV

The candidate's CV, if one is attached

2. How to add candidates

There are three ways to manually add candidates to the Talent Pool. All of them start from an existing application.

Candidates who are at the Hired stage for any role can't be added to the pool.

2.1 From an application

  1. Open the candidate's application from Candidates.

  2. In the profile header, click Add to Talent Pool (the person icon).

  3. Choose a Department. This is required.

  4. Add Tags for their skills and the reasons you're keeping them. Pick existing tags or type a new one and hit enter to create.

  5. Optionally, add a Note.

  6. Click Add.

2.2 As a bulk action

  1. Go to Candidates and click Open Filters.

  2. Filter by Job and Job Stage, for example Data Analyst at Technical Stage, then click Search.

  3. Select the candidates you want with the checkboxes.

  4. In the bulk actions above the list, click Add to Talent Pool.

  5. Optionally, add a note for the group, then click Add.

Candidates added in bulk inherit the department and tags from their most recent application. While hired, anonymised and already-added candidates are skipped automatically.

2.3 From bulk candidate review flow

  1. In the candidate tab or job pipeline, select candidates and click Review Candidates.

  2. When you reach someone you want to keep, click Add to Talent Pool in the top right.

  3. Choose a department, add tags and a note, then click Add.

  4. Carry on reviewing. You can still skip, reject or move the candidate on as usual.

3. How to filter and find talent

Use the tag filters to narrow the Talent Pool to the people who fit a new role. Out of the box you can filter by Department, Tag and Added At.

  1. Go to Talent Pool and click Open Filters.

  2. Set one or more filters:

    • Department: for example, Product.

    • Tag: for example "Attention to Detail".

    • Added At: a date range for when candidates joined the pool.

  3. Click Search. The list shows only the matching candidates.

  4. Click Reset to clear the filters and see everyone again.

More options:

  • Add/Remove Filter adds or hides filter fields, such as Channel.

  • Save Filter keeps a combination you use often, so it's one click away next time.

  • The Department and Added at columns can be sorted.

Filters can only find what's been tagged. If a search misses someone you expected, check their profile has the right department and tags. Great tagging, means great matches!

4. How to remove a candidate from the pool

Removing a candidate takes one click, from either of two places:

  • From their Talent Pool profile.

    • Open the candidate in the Talent Pool

    • Click Remove from Talent Pool in the top right.

  • From any of their job applications.

    • Open one of the candidate's applications.

    • Click Remove from Talent Pool in the top right.

You can add them back at any time using any of the three ways listed in section 2.

5. Where are my prospects?

Your existing prospects (if applicable) are in the Talent Pool. When the Prospects tab was retired, every existing prospect was migrated automatically, and each one has the channel Prospect assigned. Prospects referred through post-hire candidate surveys from now on land in the Talent Pool the same way.

To filter only your prospects:

  1. Go to Talent Pool and click Add/Remove Filter.

  2. Tick Channel.

  3. In the Channel field, select Prospect.

  4. Click Search.

  5. Optionally, click Save Filter so this view is one click away.

Migrated prospects may not have a department or tags yet. Add them from each profile so these candidates show up in your filtered searches.
