How to manage candidates through each hiring stage

The Pipeline view gives you a visual overview of candidates as they move through your hiring workflow, helping you prioritise actions and track progress at each stage.

Quickly see where candidates are, what needs action, and how your process is performing.


Accessing the Pipeline

  1. Go to Jobs.

  2. Open a job.

  3. Select the Pipeline tab.


Sorting Candidates

Use the Sort dropdown (top right) to organise candidates by:

  • Days on stage – how long a candidate has been in the current stage

  • Name (A–Z)

  • Applied at – date applied

  • Pending actions – number of actions required

Use the arrow icon to switch between ascending and descending order.

Focus on stalled candidates or those needing immediate action.


Moving Candidates Between Stages

You can move candidates by:

  • Dragging and dropping them into another stage, or

  • Clicking the ellipsis (…) → Move to stage next to the candidate’s name

Moving a candidate may trigger automations (e.g. scheduling emails).


Pass-Through Rate (PTR)

Each stage displays a Pass-Through Rate, showing the percentage of candidates that progress to the next stage.

Example:
If 3 out of 10 candidates move from 2nd Interview to Final Interview, the PTR is 30%.

Identify bottlenecks and optimise your hiring process.


Candidate Actions from the Pipeline

Click the ellipsis (…) next to a candidate to:

  • Open their candidate profile

  • View interviews

  • Move them to another stage

  • Schedule an interview

  • Reject the candidate
