This article explains the different user roles in Screenloop and what each role can access. Every team member is assigned a role type, which determines what they can see and do in the platform.
Key Takeaway: A user’s permissions depend on both their role type and the jobs they’re assigned to.
User Role Types
Admin
Full access across the platform
Can view and manage all jobs, candidates, settings, and integrations
Basic
Limited access
Can only see jobs they are assigned to
Basic users are assigned to jobs as part of the Hiring Team, in one or more of the following roles:
Recruiter
Hiring Manager
Interviewer
Why this matters: A user’s job-level role determines their day-to-day actions in Screenloop.
1. Add a Team Member
Only Admins can invite new users.
Go to Settings (left navigation)
Click Add User (top right)
Complete the user details
Select a role:
Admin: Full platform access
Basic: Access only to assigned jobs
Click Invite
Note: Users must accept their invite before they can be assigned to jobs.
2. Assigning a Team Member to a Job
Admins and Basic users can be assigned roles as Recruiter, Hiring Manager, or Interviewer.
When creating a job (Step 1: Job Details):
Scroll to Hiring Team
Assign a Recruiter (mandatory)
Click Add a Team Member to assign Hiring Managers or Interviewers (optional)
Benefit: Assigning users ensures they only see the jobs and candidates relevant to their role.
3. Permissions Overview
Role | Job Scope | Product Access | Key Permissions |
Admin | N/A | All | Full platform access: view/edit all jobs, candidates, analytics, settings, integrations, schedule interviews, send emails, fill scorecards, manage job posts & training, request references/background checks, etc. |
Basic – Recruiter | Assigned jobs | Interviews, Candidates, Jobs, Training, Prospects, Analytics | Access candidate/job details, view interviews, schedule, send emails, edit jobs, fill scorecards, access training, request references/background checks, view candidate salary expectations |
Basic – Hiring Manager | Assigned jobs | Interviews, Candidates, Jobs, Training, Prospects, Analytics | Same as Recruiter |
Basic – Interviewer | Assigned jobs (only interviews they attend) | Candidates, Interviews, Referrals, Training | View candidates (cannot move them), attend interviews, access interview kits, fill scorecards, view own analytics, refer candidates, access training |
Basic – No job assignment | N/A | Referrals, Training | Refer candidates, access assigned training content |
Role + job assignment = what a user can access.
This ensures team members only interact with relevant candidates, jobs, and data.
