Understand access levels in Screenloop

This article explains the different user roles in Screenloop and what each role can access. Every team member is assigned a role type, which determines what they can see and do in the platform.

User Role Types

Admin

  • Full access across the platform

  • Can view and manage all jobs, candidates, settings, and integrations

Basic

  • Limited access

  • Can only see jobs they are assigned to

Basic users are assigned to jobs as part of the Hiring Team, in one or more of the following roles:

  • Recruiter

  • Hiring Manager

  • Interviewer

Why this matters: A user’s job-level role determines their day-to-day actions in Screenloop.


1. Add a Team Member

Only Admins can invite new users.

  1. Go to Settings (left navigation)

  2. Click Add User (top right)

  3. Complete the user details

  4. Select a role:

    • Admin: Full platform access

    • Basic: Access only to assigned jobs

  5. Click Invite

Note: Users must accept their invite before they can be assigned to jobs.

2. Assigning a Team Member to a Job

Admins and Basic users can be assigned roles as Recruiter, Hiring Manager, or Interviewer.

When creating a job (Step 1: Job Details):

  1. Scroll to Hiring Team

  2. Assign a Recruiter (mandatory)

  3. Click Add a Team Member to assign Hiring Managers or Interviewers (optional)

Benefit: Assigning users ensures they only see the jobs and candidates relevant to their role.

Role + job assignment = what a user can access.

This ensures team members only interact with relevant candidates, jobs, and data.
