Screenloop allows you to reject candidates either individually or in bulk. Follow the steps below depending on how you’d like to manage rejections.
Rejecting a Candidate from the Candidate Profile
To reject a single candidate directly from their profile:
Open the candidate’s profile
Click on the Reject Candidate button on the top right corner
You’ll be prompted to:
Select the rejection type and rejection reason
Send an email to inform the candidate of the rejection
When bulk rejecting candidates, the same rejection reason(s) must be applied to all selected candidates.
Once confirmed, you’ll be prompted to email the candidates.
When bulk rejecting, all selected candidates will receive the same rejection email.
Viewing Rejected Candidates
To view rejected candidates:
Go to Candidates
Utilise the Add/Remove filter and Open Filters features to narrow the view down to the candidates you wish to locate (select Rejected under Status filter)
Visibility rules:
Admin users can see all rejected candidates
Basic users can only see candidates rejected for roles they are assigned to
Unrejecting a Candidate
To unreject a candidate:
Open the candidate’s profile
Click on the Unreject Candidate button on the top right corner
The candidate will be restored to the pipeline.
Bulk Reject Candidates when Archiving Roles
When archiving a job role, you can now reject any remaining active candidates directly within the archive flow, including optionally sending rejection emails.
After clicking the Archive action for a job, you'll be able to select from the:
Reject all active candidates
If no rejection automation is configured for the role:
You will see an option to manually send a rejection email during archiving
If selected, the email modal will open in the next step
If rejection automation already exists:
The manual email option is not shown
Emails are handled automatically via the existing automation once the candidates are rejected
This prevents duplicate rejection communications
Once confirmed:
All active candidates are automatically moved to a rejected state
The role is successfully archived with no remaining active candidates
