Control and approve job creation with structured workflows

Job Requisitions help teams manage and approve job openings by requiring key information and sign-off before a job is created.

How Job Requisitions Work (At a Glance)

  1. Enable Job Requisitions

  2. Set up Approval Flows

  3. Create a Job Requisition

  4. Submit for approval

  5. Create the job after final approval


1. Enable Job Requisitions

  1. Go to Settings → Organisation → Requisitions.

  2. Enable Job Requisitions.

  3. Choose whether requisitions are mandatory. If requisitions are mandatory, jobs cannot be created without an approved requisition.


2. Set Up Approval Flows

Once requisitions are enabled:

  1. Go to Settings → Customisation → Approval Flows.

  2. Click Add Approval Flow.

Approval Flow Setup

  • Approval Flow Name

  • Assign to: Organisation, Location, or Department

Note: The first approval flow must be assigned to the Organisation. Location- or Department-level flows can be added afterwards.

Approval Steps

  • Add one or more approval steps.

  • Assign one or more approvers per step.

Benefit: Mirrors your internal decision-making structure and reduces back-and-forth.


3. Initiate a Job Requisition

Once approval flows are configured:

  1. Go to the Jobs page.

  2. Select Job Requisition.

  3. Click Add Job Requisition and fill in the below:

Planned Start Date

Requisition reasons are editable and can be custom-created per organisation. For more information, see here.

Working model

Annual salary range

Currency

Approval Flow

  • Confirm the approval flow and approvers for this requisition.


4. Submit for Approval

  • Once submitted, the requisition is automatically emailed to the first approver.

  • Requisitions can also be tracked from the Job Requisitions list.

Approvers can:

  • Approve the requisition

  • Reject the requisition (a reason is required)

Rejected requisitions must be updated and resubmitted.


5. Final Approval and Job Creation

Once all approval steps are completed:

  • The requisition is marked approved

  • The responsible user is notified by email

  • A job can be created using pre-filled information from the requisition

Benefit: Faster, more accurate job creation with built-in compliance.
