Adding External Recruiters

How to add and manage External Recruiters within your organisation

External Recruiters allow organisations to collaborate with third-party recruiters and recruitment agencies directly within Screenloop with a new dedicated user type.

Unlike internal users, External Recruiters have a dedicated permission set that allows them to source and manage candidates for assigned jobs while leaving hiring decisions and candidate progression to the internal hiring team.


Creating External Recruiters

External Recruiters are managed separately from internal users.

To create an External Recruiter:

  1. Go to Settings → External Recruiters.

  2. Click Create External Recruiter.

  3. Add one or more recruiters.

    1. Optionally assign jobs during creation.

  4. Send the invitation.

The recruiter will receive an email invitation to join Screenloop. During setup they must enter their name and create a password before accessing the platform.


Assigning Jobs

Jobs can be assigned in two ways:

From the External Recruiters page

Open an External Recruiter's profile and use Job Management to assign or remove jobs at any time.

From the Job setup flow

When creating a new job or editing an existing job, External Recruiters can be added directly alongside the hiring team. Screenloop automatically recognises the user as an External Recruiter and applies the correct permission setting.

This provides a more efficient workflow when creating or updating jobs, as recruiters can be assigned without leaving the job setup process.

External Recruiters only have access to jobs they have been assigned.


Permissions

External Recruiters are intended to act as sourcing partners rather than decision makers. Their permissions allow them to contribute candidates and collaborate throughout the hiring process while ensuring internal hiring teams retain ownership of candidate progression and hiring decisions.

Allowed actions

External Recruiters can:

  • View assigned jobs.

  • View the hiring pipeline for assigned jobs.

  • View only candidates they have personally sourced.

  • Add new candidates.

  • Edit candidates they have access to.

  • Add comments and notes.

  • Schedule interviews.

  • Complete ad-hoc scorecards and provide interview feedback.

  • Participate in interviews.

  • Move their candidates to another assigned job, provided they are assigned to both jobs.

Restricted actions

External Recruiters cannot:

  • View jobs they have not been assigned.

  • View candidates sourced by other users.

  • Progress candidates through hiring stages.

  • Reject candidates.

  • Email candidates.

  • Make hiring decisions on behalf of the organisation.


Adding Candidates

External Recruiters use the same candidate creation workflow as internal users.

When creating a candidate:

  • Only assigned jobs are available for selection.

  • The Candidate Source field is automatically assigned to the External Recruiter and cannot be edited.

  • Candidates can be added directly into the selected job.
